How to enter Leaves and Extensions and have Milestone and Requirement Dates adjust automatically

Prograds records student Leaves of Absence and Program Extensions together in the same place.

Admin users enter and view leaves and extensions on the Student Profile page.

Click on the Leaves & Extensions button to view and enter new ones.

With both Leaves and Extensions you can choose to (or not to) to push back the student’s incomplete and not-yet-approved milestones and requirements by a number of months you specify.

Leaves of Absence have start and end dates, have an email scheduled before the return from leave, and optionaly can push back the dates of milestones and requirements. Program Extensions have a start date, but no end date, and can optionally push back the dates of milestones and requirements.

Adding Leaves and Extensions

When you add a leave or extension, you give it a title of your choice.

Set the toggle to either leave or extension.

Then choose Start and (optional) End Dates.

Choose whether the student’s program end date and their milestone and requirement ideal and due dates get pushed back by a certain number of months. Specify the number of months.

You may enter notes. They will not be visible to the student (they only see the list of leaves, not this box with notes).

Editing Leaves and Extensions

You can only edit the title, dates, completion status, and notes.

You cannot change the extension dates, so use this very carefully. It is possible to reverse the date changes, but this must be done one by one, manually, from the student progress page.

Recording and Visibility of Milestone and Requirement Date Changes

On the Student Progress Page, milestones and requirements that have had their dates changed automatically by a Leave or Extensions have that indicated in three ways:

  1. with a little “ext” on the main screen
  1. on the milestones and requirements detail popup, you’ll see an indication of the number of months the item was pushed back
  1. on the milestone or requirement’s change history popup where the extension of the ideal and deadline dates is shown with the name of the administrative user who made the change and the leave or extension that caused the change
